Building maintenance for municipalities, care homes and schools that stands up to any scrutiny.
For municipalities, cities and cantons, care homes, schools, churches, sports facilities and cooperatives: easyCAFM calculates the cleaning and maintenance requirements of your properties objectively and transparently, the basis for fair budgets, justifiable workloads and secure tenders.
In short: you know exactly why a property costs what it does. You can prove it to the municipal council, school board and auditors at any time.
Objective budgets
Requirements are calculated using standard values, not estimated. This lets you plan cleaning costs and caretaker workloads in a robust and justifiable way.
Tender-proof
Create transparent specifications and compare offers on an objective basis.
Full cost transparency
Every item can be substantiated down to the area and the standard value, ideal for committees, supervisory bodies and auditors.
Transparent & neutral
No black box: the calculation follows uniform rules, the same for all properties and verifiable at any time.
Fair tender across many properties
A city puts the cleaning of its buildings out to tender. With an objective specification from easyCAFM, all bidders calculate on the same basis, offers become comparable and the award can be justified towards committees and supervisory bodies.
Comparable offers, fair awardFrom budget request to tender.
Record properties
All the municipality's buildings with rooms, areas, floor coverings and outdoor areas in one inventory: school building, administration, works yard, church, sports hall. Existing calculations by toolsuisse AG are imported. Module Objects & areas.
Calculate requirements using standard values
For each area, annual hours are generated for routine, deep and special cleaning, ancillary work and outdoor areas. The result is the budget per property in hours, FTE percent and francs. Module Cleaning calculation.
Justify and allocate workloads
The annual hours become the workload of the caretaker and the cleaning team. Position requests to the municipal council are based on a table per task block, not on rules of thumb. Module Workloads & allocation.
What public buildings need in terms of cleaning and caretaking.
Every property is different. What it really needs in cleaning and caretaking is shown by the calculation with its actual areas and intervals.
A care home cleaned daily, 365 days a year, is well above a school building with 39 school weeks. That in turn is above a sports hall with large, machine-cleaned areas. What matters is not average figures but the areas, coverings and intervals of your buildings.
The calculation is shown in detail in the guide Calculating caretaker FTE percent.
For every type of public property.
From school campus to care home to sports hall, easyCAFM cleanly maps the different requirements for cleaning and maintenance.

Should we clean in-house or outsource?
easyCAFM calculates both variants with the same specifications: internal full costs versus the external hourly rate. This makes the comparison fair, because supervision, cover for absences, materials and machines are taken into account on both sides.
How do we justify a position request for caretaking?
With the table per task block from the Workloads & allocation module: cleaning, ancillary work, outdoor areas, technical services and administration in annual hours, divided by the net annual working time. Every FTE percent can be traced back to areas and tasks.
What happens to our existing toolsuisse calculations?
They are imported into easyCAFM as a folder structure with all objects. The municipality then continues to work with the data itself, using the same standard values.
Does easyCAFM make sense for small municipalities?
Yes. Even with three properties, the question of the right caretaker workload and cleaning budget arises. The scope adapts accordingly. The price depends on the number of properties.
