What this module does

From calculation to finished PDF.

Because quotes and reports are generated directly from the calculations, the figures are always correct. You save yourself the tedious manual compilation in Word and Excel.

  • Cleaning quotes with items, hours and price
  • Specifications for tenders
  • Reports per property for committees and auditors
  • Uniform appearance, in all national languages
How it works

Four steps to a quote.

1

Calculation as the basis

Every quote and every report is based on the Cleaning calculation of the property: areas, performance values, intervals, annual hours. There is no second set of figures that would have to be updated by hand.

2

Choose scope and items

You decide what goes into the quote: routine cleaning only, or also deep cleaning, windows and outdoor areas, structured by building, floor or room type. For tenders, this produces the specifications without prices.

3

Enter hourly rate and terms

Cleaning companies add hourly rates, materials, discounts and contract terms. Municipalities enter internal full costs for the comparison between in-house cleaning and outsourcing. Contact person and sender are taken from the customer data.

4

Generate and version the PDF

One click creates the PDF in the uniform layout. Each version is saved, so a follow-up quote or an adjustment after the site visit remains traceable. Accepted quotes become the basis for workloads and routes.

Example

This is how a cleaning quote is structured.

Quote for cleaning an administration building with 1,500 m2: offices three times a week, entrance and WC facilities daily, plus special cleaning. The items follow the calculation; the price is hours times an hourly rate of 50 francs.

Special cleaning combines deep cleaning of the floors, windows and cleaning after events. The WC facilities and the entrance, cleaned daily, stand out: they take up considerably more hours than their share of the area would suggest. Because every item can be traced back to area, performance value and interval, the client can check the quote line by line.

For whom

Municipalities, care homes, schools and cleaning companies.

Public institutions

Municipalities create the specifications for the tender from the calculation: all areas, intervals and quality levels, but without prices. All bidders calculate on the same basis, the offers become comparable and the award can be justified to committees. Reports per property show budget, workload and annual costs for the municipal council and auditors. Find out more: Tendering cleaning as a municipality.

Cleaning companies

Cleaning companies create quotes in minutes instead of hours: record areas during the site visit, calculate, set the hourly rate, send the PDF. The quote stands up to scrutiny because it is calculated with the same standard values that municipalities use to prepare their tenders. Find out more: easyCAFM for cleaning companies.

FAQ

About quotes and reports.

Can we customise the layout of the quote?

Logo, sender and contract terms come from your tenant data. The structure of the quote is uniform so that items remain comparable across all objects.

What is the difference between a quote and specifications?

The Specifications describe the service per area without a price and are used for the tender. The quote adds the hourly rate and price. Both are generated from the same calculation.

What reports are available for the municipal council and auditors?

Reports per property with areas, annual hours, workload and annual costs, comparisons between properties as well as the comparison between in-house and external cleaning.

In which languages are PDFs generated?

In German, French and Italian. The language is selected per document, for example for a quote to a municipality in French-speaking Switzerland.
