Cleaning calculation with standard values: calculating cleaning needs objectively

easyCAFM calculates the cleaning needs of every area using transparent Swiss standard values, objective, verifiable and proven in over 17,000 calculations.

Instead of a gut-feeling estimate, you receive a justifiable calculation for every property in hours, FTE percent and francs, ideal for fair budgets, sound tenders and reliable quotes.

What this module does

Objectively calculated instead of estimated.

Every item can be traced down to area, performance value and interval. That is exactly what municipalities, care homes, schools and cleaning companies value: no black box, just transparent figures.

  • Standard values from over 17,000 calculations instead of gut feeling
  • Every item is justified and documented
  • Results in hours, FTE percent and francs
  • Ideal for tenders, budgets and quotes
How it works

Four steps to a justifiable calculation.

1

Record areas

Every room is recorded with cleaning area, floor covering and room type: classroom with linoleum, toilets with tiles, corridor, gym, resident's room. Outdoor areas with lawns, paths and squares are included too. The basis is the module Objects & areas.

2

Assign standard values

easyCAFM automatically assigns the right performance value to every area: how much area can be cleaned per hour for this task on this covering. Difficulties such as dense furnishing or heavy footfall are taken into account as a factor.

3

Choose intervals and operating weeks

Daily, three times a week or weekly, 39 school weeks or 52 operating weeks: the interval is set per room type. Deep, interim and special cleaning such as windows are calculated separately with their own values.

4

Results per room, floor and building

Annual hours are totalled at every level: per room, floor, building and property. From this come workloads in FTE percent, annual costs and tender-ready specifications.

The calculation

Area, performance value, interval.

The formula is the same for every area. What easyCAFM does is apply it cleanly to hundreds of rooms, without arithmetic errors and without forgotten items.

StepCalculation
Time per cleaningArea divided by performance value
Cleanings per yearInterval times operating weeks
Annual hoursTime per cleaning times cleanings
FTE percentAnnual hours divided by net annual working time

easyCAFM applies these steps to each room individually and totals the results across floors and buildings. For an entire school building with 3,000 m2, this calculation gives around 2,300 annual hours or 125 FTE percent for cleaning.

For whom

Municipalities, care homes, schools and cleaning companies.

Public institutions

Municipalities, cities, care homes, schools and parishes receive a budget that stands up to the council, school board and auditors. The calculation shows how much cleaning a building really needs. This makes properties comparable with one another. It is the basis for the caretaker's workload, for comparing in-house and outsourced cleaning and for a fair tender. Cleaning companies

Cleaning companies calculate quotes with the same standard values municipalities use for their specifications. The result is bids that are neither too tight nor too high and can be justified to the client item by item. The calculation directly produces the Quote as PDF and the basis for Route planning. FAQ

About cleaning calculation.

Where do the standard values come from?

From over 17,000 calculations by toolsuisse AG, which has been determining the cleaning and caretaking needs of public properties in Switzerland for over 20 years. The values were measured on real objects and are continuously updated. Read more on the page About us.

Can we use our own performance values?

Yes. The standard values are the starting point. For special objects or contractually agreed values, performance values and difficulty factors can be adjusted, traceably and documented.

What about deep cleaning and window cleaning?

Deep cleaning, interim cleaning and special cleaning such as windows or blinds are calculated with their own performance values and intervals and shown separately in the results. So they are missing from neither the budget nor the quote.

How precise does the area measurement need to be?

As precise as the decision based on it. For a budget, the cleaning area per room with covering and room type is enough. For a tender, areas should be taken from plans or measured on site. Read more in the guide Area recording as the basis.
